Relief Spreadsheet Download for Schools (Version 2006a)

Upgrade Instructions

This download is an upgrade to version 2006a of the relief recording spreadsheet. The download will automatically save the spreadsheet directly to your S: drive in a folder called 'relief'.

There are four main steps:

  • Download version 2006a as a new empty spreadsheet.
  • Copy your information from your version 2006 spreadsheet into a backup file.
  • Restoring (copying) information from that backup file to your new version 2006a spreadsheet.
  • Some housekeeping.

Download and install

  1. Print this page for reference.

  2. Single click on the Download here link.

  3. A 'File Download - Security Warning' dialogue box will appear. (Note: You may get the message 'File Download' if you do not have Windows XP.  Click on 'Open', then go to step 6).

  4. Click on 'Run'.  A 'Internet Explorer - Security Warning' dialogue box will appear asking if you are sure you want to run this software.

  5. Click on 'Run' again.

  6. A 'Win-Zip Self Extractor' dialogue box will appear.

  7. Click on 'Unzip'.

  8. The executable will run and then a message will appear '1 file(s) unzipped successfully'.

  9. Click on 'OK'.

  10. You are returned to the 'Win-Zip Self Extractor' dialogue box'.

  11. Click on 'Close'.

  Did it download successfully? Locate the files on your S: drive.

  1. Keyboard short cut: ÿ + E, (or right click on your 'Start' icon and select 'Explore'.)

  2. Locate your S: drive.

  3. Open the folder called 'relief'.

  4. There should be 1 new file.  An Excel spreadsheet called 'ReliefData2006a'.

Please do not change the name or location of thIS file.  THE CUrrent relief spreadsheet should always stay on the 's' drive in the relief folder.

Copy data from the current spreadsheet to the new via a backup copy

The new spreadsheet is still empty. To update it with your 2006 entries you will now need to copy the data from the current spreadsheet, ReliefData2006 to a backup file, ReliefBackup, and from the backup file into the new spreadsheet, 'ReliefData2006a'.

Copy existing entries from the current spreadsheet into a backup

  1. Open your current spreadsheet, s:\relief\ReliefData2006.
  2. If you have a 'macros are disabled' message:
    Select Tools... Macro... Security...
    Choose a Medium security level

  3. Click the 'Backup relief data' button.
  4. You are prompted for a file name to which a copy of your data will be saved. 
  5. Click OK to the name 'ReliefBackup'.
  6. Close the spreadsheet.

Copy the existing entries from the backup copy to the new spreadsheet

  1. Open the new spreadsheet, s:\relief\ReliefData2006a.
  2. Click the 'Restore relief data' button on the bottom right on the relief menu and follow the prompts. 
  3. You will receive a message saying 'Are you absolutely sure you wish to restore your relief data...'  
  4. Click Yes.
  5. Highlight your backup file - called ReliefBackup.xls.
  6. Click Open.
  7. You will receive another message saying 'There appears to be no future absence or scratch pad data in this backup file so you may need to re-enter this information now.'
  8. Don't worry, just Click OK.
  9. A message appears 'Data restore completed'.
  10. Click OK.
  11. All your existing entries should now appear in the new spreadsheet.  To view your entries click the 'Close Menu' button on the bottom right of the new menu.
  12. Save the new spreadsheet (Ctrl +S).

Create a new shortcut to your desktop (after download), for Windows XP only

* Note: in a few schools staff cannot create shortcuts.  This unnecessary restriction can be lifted by talking to your Managed Network Specialist.

  1. Locate the new spreadsheet s:\relief\ReliefData2006a.

  2. Right mouse click on the Excel spreadsheet called 'ReliefData2006a'.

  3. Click on 'Send To'.

  4. Click on 'Desktop (create shortcut)'.

  5. You should now see an icon on your desktop labelled 'Shortcut to ReliefData2006a'.

Delete the old shortcut on your desktop

You may have already created a shortcut to the old spreadsheet, 'ReliefData2006'.  That spreadsheet is not to be used in future.

  1. Go to your Desktop and right mouse click on the shortcut 'Shortcut to ReliefData2006'.
  2. Select 'Delete'.
