The new rollover and download instructions for the 2006 Relief Spreadsheet for Schools can be found at:

The new rollover and download instructions for the 2006 Relief Spreadsheet for Clusters can be found at:

Please read the Release Notes that accompany the download to see what has changed for 2006.

Ring the Service Centre on 1800 816 057 if you have any queries - but please note, Monday 13th February is a holiday in Hobart and we will have only one staff member on duty, so if those in the north of the state can delay calls relating to the the new Relief Spreadsheet until Tuesday it would be appreciated.

The First Term Census this year will take place on Friday 3 March, the third Friday after school returns.  Please make sure everything is correct in SACS by that time.

A memo will be sent via Infostream prior to the Census advising you in more detail of the Census Process.  In regards to the Census Enrolment Protocols, schools and colleges should pay particular attention to the updated definition of an active and inactive student found at http://www.education.tas.gov.au/admin/ff/enrolment/procedure/active.htm

A reminder will be included in the Banter closer to Census Day advising you that we will be targeting the download from your school to the Data Warehouse on the evening of the 3 March.

If you have any queries regarding the Census please contact Paul Daniels, Senior Coordinator, Resource and Data Management, 6233 7092.

More information is available on the Web at http://www.education.tas.gov.au/admin/ff/enrolment/census/default.htm

3.  Can't sight a student's birth certificate?

Remember, for students born in Tasmania, Births Deaths and Marriages (BDM) can verify names and dates of birth if you are finding it particularly difficult to obtain student birth certificates from a parent or guardian.  The service is free to schools and is sufficient for enrolment purposes.

Print the form from this link: http://www.education.tas.gov.au/admin/ff/enrolment/forms/BDMconsent13.doc, have it completed, and fax it to BDM on 6233 6444.

Make sure you include your own details on the form in the box on the bottom left or BDM will not know who to send the confirmation to!

4.  Incorrect payroll entries in SRP Staffing and Relief sheets

If you find incorrect pay transactions on your SRP sheet, refer to your Pay Extract for details of the employee, hours, dates etc.

For problems found on the SRP sheet under either the Operational & Admin Staff heading or the Teaching or Professional Staff heading contact your Branch HR Officer.

For problems found under either the Teacher Relief heading or the Non-Teacher Relief heading contact your central office HR Operations Officer.

Contact the central office Co-ordinator HR Operations on 6233 7942 only if neither of the above officers can resolve the problem.

Contact the SRP team (email SRP@education.tas.gov.au) regarding school budgets only (e.g. to increase your teacher relief budget).

HR and the SRP team have provided more information and a list of names, phone and fax numbers at the following web address: http://www.education.tas.gov.au/admin/ff/banter/2006/10Feb/saladjusts.htm

5Students' Health Care Requirements web page moved

The web page concerning medical treatment for students has been moved to:

http://staff.education.tas.gov.au/pages/els/equitystandards/disability/health/

Links to forms, such as the Administration of Prescribed Medication Authorisation Form can now be found at the following web page:

http://staff.education.tas.gov.au/pages/els/equitystandards/disability/health/appendices.htm

6.  Student Residential Addresses

A residential address must be recorded for every student in SACS.  Most schools record residential addresses as address type M (mailing).  If you have recorded post office box numbers in address type M, this is acceptable, however, these students must have an additional record for a residential address (address type R)

It may be difficult to obtain an address on enrolment, particularly for students coming from interstate or intrastate, but this must be followed up as soon as practicable, as the address statistics are used for allocation of school and other resources, for accounting, and for other purposes detailed on this webpage: http://www.education.tas.gov.au/admin/ff/enrolment/sacs/studentaddressdetails.doc

7.  Transitioning new Students into SACS from the Data Warehouse

Reminder - if you can't find a student in the Data Warehouse, make sure you try an additional search with the 'From History' box ticked (see below).
