Mid-year enrolment census - all schools and colleges

Census Date
The Mid-Year Census this year is Friday, 6 August 2004.  Budget and Resource Services (BRS) is responsible for conducting the Census.  BRS will take a copy of your student data from the Data Warehouse which corresponds to enrolments posted for Census Day.  In this instance BRS will target extracts posted to the Data Warehouse on the Friday evening.

Census Process
Schools and Colleges should ensure that all necessary changes to student enrolment details are made in SACS prior to the extract to the Data Warehouse which will take place on Friday evening.  Left student must be marked 'left'.  It is advisable for all schools to keep a hard copy backup for the Census in a safe place by printing the following SACS report: Reports...Central Office...Census Information Active Students Summary - 303

Schools and colleges should familiarize themselves with the information contained on this site prior to the Census.

School and College Contacts
Schools are reminded, if they haven’t already done so, to nominate a school officer who will be available to liaise with Budget and Resource Services regarding census data and assist in the analysis undertaken by BRS.  This advice is to be emailed to budget.and.resource.services@education.tas.gov.au and should include the email address of the nominated officer.

Schools operating a senior secondary campus are also requested to nominate an appropriate contact to deal specifically with senior secondary issues.  This contact could be the timetabler or the teacher-in-charge of senior secondary.  Again, please include the email address of the nominated officer.

Publication of personal information
A request that schools review the guidelines regarding the publishing of student details, work and photographs.

Keep in mind:

  • The family names of students must not be published without parent permission. Newsletters and other documents that are then put onto a departmental website should be reviewed to make sure they comply with the guidelines. 

  • These guidelines are for school and departmental publications only.

Examples of extracts from the Guidelines, K-10 students:

  • Student's name -- First name only and with parent permission - name not to be linked to photo

  • Student's photograph -- With parent permission -not to be linked to student’s name

  • Samples of student's work -- With parent permission
