1.  Students and Staff incorrectly recorded in SACS

There are currently around 3000 'exceptions' in the data warehouse.  An 'exception' arises when, say, a student is recorded twice; once with one EdID, and once with another. These are the most common exceptions in SACS at present:

1.      Student’s duplicate EdID: EdID recorded in the Data Warehouse twice, for different students

2.      Invalid Date of Birth: Date of Birth outside of normally accepted range

3.      Student’s duplicate details: Same student recorded twice in Data Warehouse

4.      Staff duplicate Remus ID: Staff Payroll number recorded in Data Warehouse twice, for different people

5.      Multiple student enrolment:  Same student recorded more than once in a number of schools

There are over 500 instances of the ‘Student’s duplicate details’ exception at present. To avoid this problem, make sure you check the Data Warehouse to see if the student has been enrolled previously in a Tasmanian state school, then transition them in, instead of re-enrolling them. Please ensure that staff who enrol students in SACS are aware of this necessity.

A ‘Student duplicate EdID’ exception arises when the Data Warehouse thinks there are two different students with the same EdID. This usually happens when a student changes their name after enrolling in a new school. (The Data Warehouse matches names for both the new school and the school they left). Instances of a student changing their name should not be common - the name recorded in SACS should be the one on their birth certificate, or the one they have officially registered.

Staff details recorded in SACS should exactly match the details recorded on the payroll costing report. If the name on the payslip is incorrect, they should contact the District Office to change it. Ensure that you enter or amend the SACS details to match the pay details. Use the full first name in SACS - in other words put "Elizabeth", not "Liz" for the Given name, and ensure that the Initial is the first intial, "E" not "L" in a case such as this. There are currently around 350 instances of this type of discrepancy between SACS and Remus (the payroll system).

For those recorded in SACS who are not departmental staff (e.g. tradespeople recorded for the purpose of providing keys), the tick box ' Non Dept. Staff' should be used to prevent the names being matched with the Remus system.


2.  SACS Servers

Schools should not shut down their SACS server during holiday breaks or weekends, this includes the Christmas and Easter breaks

SACS servers are to be kept running every day so that:

  • data can continue to be uploaded to the Data Warehouse every night
  • security and anti-virus patches can automatically be installed

3.  Finance Advice

Two gems from Ron Watts:

  • Do not use Accounts Receivable Journal to adjust any transactions.
  • Always use Accounts Payable Journal even if revenue transactions are being adjusted.

And one from Malcolm MacLeod:

  • Do not use the GST Reference Codes 07 and 18 unless you have checked with the Service Centre. These codes are for adjustments to the BAS only. If you are making an internal adjustment to your accounts, for example transfer expenditure from one account code to another or making the non cash journal use GST Reference code ZZ.

4. TSAA Conference - July 22 & 23

Business Support Service will have a booth at the conference and will be giving presentations on a range of topics.  Staff will be on hand to answer your questions and provide you with support materials that you'll find useful when back in the office.


5.  Relief Spreadsheet Version 3

It is planned to roll out version 3 of the Relief Spreadsheet around the 26th of July.  The updated user guide and release notes will be combined with the download.


6.  Bookmark Pilot

A set of web bookmarks (a list of 'Favorites' in Internet Explorer) that the Service Centre think might be useful to school administration staff has been distributed to pilot sites.  This will enable school administration staff to quickly find the resources that they use most frequently.  We'll keep you informed of the pilot's progress.  If you have a site you'd like us to add to the bookmarks folder before we issue it, call Bec Wright at the Service Centre.


7.  2004 Levy Survey

Within the next few weeks you will receive a request to complete a survey regarding your school levies for 2004. As with last year's survey, this survey will be operated electronically and will require you to provide some basic information regarding levy costs for students in specific year levels as well as some general information regarding levy practices in your school. We believe you should find the 2004 survey to be much shorter and simpler than the 2003 survey. The survey will be supported by BSS.
